The HKUST online application process is straightforward, but several small setup mistakes can create unnecessary delays. Most are avoidable if you know what the system expects before you start.
1. Your English name should match your identity document
HKUST’s official guide says your English name should be the same as the one shown on your identity document. It also explains the form fields clearly: surname means last name/family name, while given name includes first and middle names.
Practical check: have your passport or HKID beside you when creating the account. Do not rely on how your name normally appears on school systems or social media.
2. Application SYSTEM username needs both letters and numbers
HKUST requires the application-system username to contain both letters and numbers. Save your username and password somewhere secure. The university’s guide even suggests keeping a screenshot of the login details.
If you reset your password, the reset email can sometimes be filtered into spam or junk, so check those folders before assuming the system has not responded.
3. Turn off your browser pop-up blocker
HKUST specifically advises applicants to ensure their browser’s pop-up blocker is turned off. If parts of the application appear not to open correctly, this is one of the first settings to check before changing devices or starting the form again.
4. Choose application type (GaoKao, SNDAS or IB)
After creating an account, applicants need to select the correct application route. The official guide distinguishes the ordinary Undergraduate Program Application from specific routes such as Mainland China Gaokao or SNDAS. Read the current admission-cycle instructions rather than selecting the first option that looks familiar.
5. Programme choice is not a temporary placeholder
This is one of the most important warnings in the HKUST guide. Your self-declared highest qualification and programme choices can be modified only before application submission. HKUST states that programme-choice amendments are not allowed after submission.
Some programmes offer an alternative choice that can be considered if admission to the first programme is unsuccessful. Check the available options carefully before finalizing.
6. Do not accidentally mark an ongoing qualification as “Final”
For post-secondary education, “Final” refers to a final cumulative GPA or final average available upon graduation. If your programme is still ongoing, HKUST says you should not select “Final”. You can update your GPA later when it becomes available.
7. Check your email address twice
HKUST communicates mainly by email. Your referee invitation, password reset messages, application acknowledgement and later document requests may depend on the email addresses entered into the system. A typo can create a problem that looks like an admissions delay but is really a communication failure.
8. Preview everything before submission
Before final submission, HKUST provides a preview stage. Use it as a proper audit rather than clicking through quickly. Check your personal particulars, qualification, programme choices, examination entries, activities, personal statement, referee details and supporting documents.
What can still be changed after submission?
HKUST’s guide says applicants can later update contact details, provide new examination results, upload additional supporting documents, resend referee invitations and change the login password or email. But not every part of the original application is editable.
For example, programme choices cannot be amended after submission, and sections covering prizes, extracurricular activities and work experience are also not directly amendable. If those sections need an update, HKUST suggests uploading a CV in Supporting Documents.
Before you press Submit: 60-second checklist
- Name matches passport/HKID.
- Correct qualification selected.
- Programme choices are final.
- Current study is not incorrectly marked “Final”.
- Applicant email is correct.
- Referee email is correct.
- Required documents are readable.
- Personal statement is uploaded.
- Preview page has been checked carefully.
